Privacy Policy

How dB Data Comms Ltd collects, uses and protects personal data — what we hold, why we hold it, how long for, and the rights you have over it.

We are committed to safeguarding and preserving the privacy of our visitors and clients. This policy explains what happens to any personal data you provide to us, or that we collect from you, when you visit this website or get in touch.

We review this policy periodically. Please check back from time to time for any changes.

1. Who we are

dB Data Comms Ltd is the data controller for the personal data described in this policy. That means we decide why and how it is processed.

2. Information we collect

In running and maintaining this website, we may collect and process the following:

  • Information you give us directly. Your name, company, email address, telephone number, and any details you include about your project when you complete our enquiry form, email us or call us.
  • Information about your use of the site. Pages viewed, resources accessed, approximate location, browser and device type, and referring source. This is statistical and does not identify you personally.
  • Correspondence. Records of communication between us by any means, including quotations, site survey notes and project documentation.
We do not knowingly collect special category data — such as health, ethnicity or political opinions — and we ask that you do not include information of that kind in enquiry messages.

3. How we use your information

We use the information we collect to provide our services to you. Specifically:

  • To respond to enquiries and provide quotations, surveys and technical advice you have requested.
  • To deliver, manage and support installation and maintenance work.
  • To maintain project records, test packs, as-built documentation and warranty information.
  • To inform you of material changes to our website, services or terms.
  • Where you have consented, or where you are an existing client and the products are similar to those already supplied, to tell you about related services that may interest you. You can opt out at any time.

We do not sell your personal data, and we do not pass it to third parties for their own marketing purposes.

4. Our legal bases for processing

Under UK GDPR we must have a lawful basis for processing personal data. We rely on:

  • Legitimate interests — responding to business enquiries, providing quotations, and maintaining records of work carried out.
  • Contract — where processing is necessary to deliver services you have engaged us for.
  • Consent — for optional marketing communications. You may withdraw consent at any time.
  • Legal obligation — where we are required to retain records for tax, health and safety, or regulatory purposes.

5. The contact form

Our enquiry form is delivered using Web3Forms, a third-party form service. When you submit the form, the details you enter are sent from your browser directly to Web3Forms, which forwards them to us by email. Web3Forms acts as a data processor on our behalf.

The information passed on is limited to what you enter into the form: your name, and where provided, your telephone number, email address, company name, service of interest, timeframe and message.

You can read how Web3Forms handles data at web3forms.com/privacy. If you would rather not use the form, please email or telephone us directly using the details above.

6. Cookies

Cookies are small files stored on your device that provide information about how our website is used. We may use cookies where appropriate to gather information that helps us improve the site.

Where used, this information is statistical and does not identify you personally. You can control or delete cookies through your browser settings, and you can set most browsers to refuse them — though some parts of the site may not function as intended if you do.

[CONFIRM] If Google Analytics, Search Console tracking or any advertising pixel is active on this site, it should be named here along with its purpose, and a cookie consent banner is likely to be required.

7. Storing and transferring your data

Your data is stored on secure systems within the United Kingdom or the European Economic Area wherever possible. Some of our service providers may process data outside the UK. Where that happens, we take reasonable steps to ensure appropriate safeguards are in place, such as UK adequacy regulations or standard contractual clauses.

We take all reasonable steps to keep your data secure. However, transmission of information over the internet is never entirely secure, and information can occasionally be intercepted. We cannot guarantee the security of data you choose to send us electronically, and you do so at your own risk.

8. How long we keep it

We keep personal data only for as long as we need it:

  • Enquiries that do not proceed — retained for a reasonable period in case you return to us, then deleted.
  • Client and project records — retained for the duration of the relationship and afterwards where needed for warranty, insurance or legal purposes.
  • Accounting records — retained as required by HMRC.
  • Marketing consents — retained until you withdraw consent.
[CONFIRM] Replace the above with your actual retention periods in months or years. Vague retention language is one of the most common weaknesses the ICO flags.

9. Disclosing your information

We will not disclose your personal information to any other party except:

  • To service providers who process data on our behalf under contract, such as our form provider, email host and IT support.
  • To subcontractors or manufacturers where necessary to deliver or warrant work you have engaged us for.
  • In the event that we sell all or part of our business, to the buyer.
  • Where we are required to do so by law.
  • To prevent or reduce the risk of fraud.

10. Your rights

Under UK GDPR and the Data Protection Act 2018, you have the right to:

  • Access the personal data we hold about you.
  • Rectification — have inaccurate data corrected.
  • Erasure — ask us to delete your data where there is no continuing reason to keep it.
  • Restriction — ask us to limit how we use your data.
  • Portability — receive your data in a portable format.
  • Object to processing based on legitimate interests, and to direct marketing at any time.
  • Withdraw consent where processing is based on it.

To exercise any of these rights, email info@dbdatacomms.co.uk. We will respond within one month.

There is no charge for making a request. We may charge a reasonable fee, or decline, only where a request is manifestly unfounded or excessive — and we will explain our reasoning if that happens.

We sometimes link to other websites. A link does not mean we endorse or approve that site's approach to privacy. Please review the privacy policy of any third-party site before providing it with personal data.

12. Complaints

If you are unhappy with how we have handled your personal data, please contact us first so we can put it right.

You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection, at ico.org.uk/make-a-complaint or on 0303 123 1113.

13. Changes to this policy

We may update this policy from time to time. Any changes will be posted here with a revised "last updated" date. Where changes are significant, we will take reasonable steps to notify you.

14. Contact us
